Overview

ESI is seeking a highly organized Administrator to support our Piping & Plumbing division. This position plays a critical role in the day-to-day administration of commercial and industrial mechanical construction projects by providing administrative, documentation, and coordination support to Project Managers and field personnel.

Responsibilities

• Provide administrative support to Project Managers throughout the project lifecycle.
• Prepare, process, and maintain project documentation, including contracts, purchase orders, RFIs, submittals, change orders, invoices, and closeout documents.
• Coordinate permit applications, renewals, and approvals while ensuring compliance with local and state requirements.
• Track material orders, vendor deliveries, and procurement schedules.
• Organize and distribute project documents, drawings, specifications, and correspondence.
• Maintain accurate electronic and physical project files.
• Assist with preparing project schedules, meeting agendas, and meeting minutes.
• Coordinate communication between Project Managers, field teams, subcontractors, vendors, and customers.
• Support project closeout by compiling operation and maintenance manuals, warranties, as-built drawings, and other required documentation.
• Monitor project deadlines and assist with maintaining project status reports.
• Assist with payroll, timecards, certified payroll documentation, and other administrative tasks as needed.
• Perform additional administrative duties to support the successful execution of projects.
