Position Overview

As a Plumbing & HVAC Scheduling Specialist, you will be the central hub of our operations. You will coordinate technician schedules, manage incoming service requests, and ensure our customers receive timely, professional service. This role is critical to the success of the company and requires someone who is detail-oriented, decisive, and able to stay calm under pressure.

This position offers the opportunity to grow into a larger operational role as the company expands.

Key Responsibilities

• Schedule and coordinate HVAC and plumbing service calls, installations, and maintenance appointments for all contractors and customers
• Dispatch technicians efficiently based on location, skill set, urgency, and availability
• Communicate clearly with customers to confirm appointments, set expectations, and resolve scheduling issues
• Maintain an accurate, real-time schedule to maximize technician productivity and minimize downtime
• Handle emergency and same-day service requests with urgency and professionalism
• Work closely with the Estimator, Shop Manager, and leadership team to ensure smooth daily operations
• Monitor job progress and proactively adjust schedules as needed
• Keep detailed and accurate records of service calls, technician assignments, and customer interactions
• Communicate delays or changes quickly and professionally to customers and team members
• Help ensure technicians are prepared for each job with the necessary information, tools, and materials
